When the Cable Purchase Order, Drawing and Quotation Disagree

A purchase order requests revision C, its attachment shows revision B and the accepted quotation names an alternative connector that neither drawing identifies. The order may look complete, yet purchasing, engineering and production are working from different definitions.

Treat each mismatch as an open decision. The useful outcome is one traceable package describing what will be supplied, at what quantity, under which acceptance requirements and with which commercial assumptions. This guide offers an operational clarification process; it does not assign universal contractual priority to a purchase order, drawing, quotation or email.

Identify the exact conflicting statements

Record document identifiers, revisions, dates and the affected lines or notes. Keep copies of the received versions. “Drawing different” is too broad for a reviewer to resolve; “PO line 10 names C while attachment EX-D41 is B” identifies a specific mismatch.

Distinguish a contradiction from missing information. A quotation that excludes a report requested by the PO is a scope conflict. A blank report field is an unanswered requirement. Both need review, but their records should not imply that the same decision has already been made.

Do not assume the most recently emailed file is released. It may be a proposal, a marked-up review copy or a revision that applies to a different assembly. Check its status and applicability, not only its timestamp.

Use a conflict matrix that separates decisions

TopicCompareDecision to obtain
Assembly identityOrder item, drawing number, sample identityExact item and released revision
QuantityPO quantity, quote tier, pack or kit unitsPurchasing unit and accepted quantity
MaterialsBOM references, proposed substitutions, quote exclusionsApproved component configuration
InspectionDrawing notes, requested reports, quoted checksAgreed method, scope and evidence
DeliveryRequested arrival, quoted dispatch, destinationConfirmed milestone and assumptions
Commercial scopeQuoted charges, PO additions, exclusionsUpdated offer or written confirmation

Each row should have an owner, status and resolution reference. Engineering may resolve a component question while purchasing resolves a revised charge. A technical decision should not silently amend a commercial term, and a price acceptance should not silently approve an alternative component.

The drawing preparation guide explains how to describe the assembly itself. Here the problem is agreement between several documents that direct the same order.

Determine what must wait

Identify the work affected by the open item: material purchasing, sample assembly, production, inspection or dispatch. Record any permitted work separately, with the authority and boundary for proceeding. Avoid a vague instruction to “carry on where possible” when irreversible material use depends on the unresolved choice.

For example, an open label wording may allow some agreed drawing review to continue. An unresolved terminal reference can affect sourcing, tooling and assembly evidence. The responsible team needs to assess the actual dependency rather than applying a fixed hold rule to every question.

NASA's configuration-management guidance describes identifying a baseline and controlling changes to it. The practical principle here is to make the approved definition and its changes traceable. NASA's program processes are not being imposed on an ordinary cable purchase order.

A fictional order with four open items

EX-DC-41 concerns assembly CA41. The following record is invented; its decisions and quantities are not Zeakka terms or a recommended contract clause.

Scroll sideways to read all columns.

IDReceived documentsRequired clarification
C01PO-41 line 10 requests revision C; attached drawing DWG-41 is BSupply the released C package or correct the PO reference
C02PO requests 120 assemblies; quote Q-41 A covers 100Confirm 120 and review the corresponding offer
C03Drawing B specifies housing H-A; quote lists H-B as a proposed alternativeConfirm which housing is approved; do not assume substitution
C04PO requests a per-lot dimensional report; quote excludes that reportAgree report content, sampling basis and commercial effect

The initial status is open for all four rows. Merely replying “please follow the PO” would leave the missing revision C package and report details unresolved. The buyer and supplier need concrete references that their teams can use.

In this fictional resolution, engineering confirms DWG-41 C and BOM-41 C, retaining housing H-A. Purchasing confirms 120 assemblies. The supplier issues Q-41 B against that package, including an agreed report defined in IP-41 A. The buyer then issues PO-41 amendment 1 referencing those documents, and the supplier acknowledges the aligned scope.

Write the resolution so someone else can use it

An operational closure note for that example could read:

EX-DC-41 closure: PO-41 amendment 1 covers 120 units of CA41 to DWG-41 C and BOM-41 C. Housing H-A remains specified; the H-B proposal is not accepted. Inspection reporting follows IP-41 A as included in Q-41 B. The controlled file set accompanies this record. The named customer and supplier reviewers have confirmed these references. Affected work may proceed only within the recorded release scope; earlier conflicting working copies are withdrawn from use.

In a real record, include the actual reviewers, dates, acknowledgment references and any remaining restrictions. Do not copy the example with unnamed authorities and treat it as evidence of approval. The note summarizes the resolution; the controlled documents must actually exist and agree with it.

If a partial resolution is necessary, state precisely which rows remain open. An approval for 20 evaluation samples does not release the rest of an order for production. A resolution covering one line should not be applied to a second assembly with a similar name.

Verify implementation after clarification

Check the revised order acknowledgment, current BOM, material instructions and inspection package against the closure record. Withdraw superseded working copies through the established document process while retaining the historical record. A decision left in an email can be missed when the work order still points to the earlier file.

Review material or work already committed under the earlier interpretation. Record what exists, its configuration and the responsible disposition. Do not relabel older work as revision C without evaluating whether it actually conforms to C.

If the clarification changes timing, request an updated milestone tied to the resolved scope. The lead-time guide explains the underlying schedule dependencies. Closing a document conflict does not recover elapsed time or create a delivery promise.

Frequently asked questions

Does the purchase order always override the quotation?

This guide does not establish a universal precedence rule. Review the applicable agreement and obtain an authorized clarification when documents conflict. Record the exact accepted scope.

Can the supplier choose the latest drawing automatically?

A date alone does not establish approval or applicability. Identify the released revision for the particular item and order, including referenced documents.

Is an email enough to close a conflict?

Use the communication and approval process agreed for the project. Whatever its format, the resolution must identify the decisions, authority, affected documents and release boundary, and be implemented in the working package.

Send conflicting references together

For a cable assembly sourcing review, send the PO references, current drawing package, quotation and a short list of discrepancies. Zeakka coordinates supplier clarification as a trading partner. Contact Zeakka with the open items so technical and commercial decisions can be aligned before affected work proceeds.
